These Terms and Conditions govern your use of the services provided by Richmond Sports Podiatry Ltd, trading as The Functional Podiatrist. By booking an appointment or registering as a patient, you agree to the terms set out below.

We respectfully request a minimum of 24 hours' notice for rescheduling or cancelling any appointment.
Failure to provide 24 hours' notice will incur a charge equivalent to 100% of the appointment cost. This policy is applied at our discretion and in accordance with our No Show policy.
If you are covered under Private Medical Insurance, please note that missed consultations may result in you being personally liable for the full cost of the appointment.
You will receive SMS and email confirmations when booking and again 24 hours before your appointment. If you do not receive these, please contact us to confirm your appointment is scheduled:
By registering as a patient and agreeing to these terms, you consent to undergo podiatry treatment and consultation, including any necessary examinations, diagnostics, and treatments as deemed clinically appropriate by your podiatrist.
We use a shared decision-making approach — you will be fully informed of proposed treatments and verbally consent to any procedures before they are carried out. Formal written consent will be requested for more advanced procedures.
As a new patient, you will be asked to complete a digital consent form prior to or at your first appointment. Please ensure this is completed and submitted before your consultation.
You acknowledge that, as with all medical treatments, there are inherent risks associated with podiatric procedures. By consenting to treatment, you trust your podiatrist's professional judgement to make informed decisions in your best interests based on their clinical expertise.
Your personal information is treated as confidential and used solely for the purposes of your medical records and to comply with the legal and regulatory requirements of the Royal College of Podiatry and the Health and Care Professions Council (HCPC). We adhere to UK GDPR (2018).
All medical and personal data is securely stored electronically for a minimum of eight years. No paper records are held. Full details of how we collect, use, and protect your data are set out in our Privacy Policy.
You consent to the sharing of reports, examination findings, and treatment plans with relevant allied health professionals and your GP as necessary to support your care. Please inform us if you do not wish this information to be shared.
You consent to the taking of photographs, videos, and audio recordings during your consultation. These may be used for clinical records and, with your specific verbal consent on each occasion, for educational or social media purposes. Verbal consent will always be sought separately before any content is used publicly.
All services provided are non-refundable. If you have concerns about your treatment or the care you have received, please contact us and we will endeavour to address them promptly.
We reserve the right to modify the pricing of our services. Any changes will be communicated to existing patients via our website and booking software, and displayed in clinic, at least 10 days prior to taking effect.
If you wish to cancel your appointment under existing pricing terms following a price change, please notify us at least 24 hours before your appointment.
Richmond Sports Podiatry will facilitate claims with your insurance provider on your behalf for each consultation. However, it is your responsibility to ensure that:
It is your responsibility to inform BUPA and obtain pre-authorisation prior to each consultation. If pre-authorisation is not obtained, you will be personally liable for all costs incurred. Richmond Sports Podiatry charges a £15 self-pay administrative fee following each consultation to cover costs including dressings and medications. This reflects the shortfall created by BUPA's fixed fee structure (£45 initial / £25 follow-up) and is an arrangement between BUPA and the individual podiatrist, not influenced by any contractual obligations with our clinic.
